Five AI jobs a one-van trade can automate this month

Practical AI wins a UK one-van plumber, electrician, heating engineer or builder can put in place this month — honest time-saved ranges, real setup costs, and exactly what each one does.

You are one van, one phone, and the paperwork is eating your evenings. Here are five AI setups a UK one-van trade business — plumbers, electricians, heating engineers, small builders — can actually put in place this month. Each is a real product, a real setup fee and a real time-saved range. Skip anything that doesn't fit your specific workflow.

1. A chatbot that captures enquiries while you're under a floor

What it does: A chat widget on your website answers common questions (call-out fees, coverage area, brands you fit, when you can visit) and captures the customer's details when the job is a real one. Every conversation transcript lands in your inbox by the time you're back in the van.

Time saved: ~4 hours per week for a typical one-van trade — mostly recovered from callback lists to enquiries that had already gone elsewhere by the time you rang back.

Setup: a one-off fee plus a monthly fee, quoted after a free call. Normally live within a working week of you sending your website URL and any brochures. If you don't have a website at all, that can be built as part of a Consulting bundle with the chatbot included.

Best for: Any trade with a website that gets more than a handful of visitors a week. Pays back fastest if your callback list currently has more than 3 or 4 names on it at any time.

2. Voice-dictated quoting from the van

What it does: After a survey visit, you dictate a plain-English note into your phone at the pavement — "swap 24kW combi, three-hour install, magnetic filter, £180 call-out fee applies". The AI transcribes it, slots the parts and labour into your quote template with your standard rates, and emails a formatted quote to the customer within minutes. No sitting at the kitchen table at 9pm writing quotes.

Time saved: ~6 hours per week for a busy quoting trade — the difference between quotes going out the same day and quotes going out at the weekend. Faster quotes also win a genuinely higher conversion rate.

Setup: £150 for 4 hours (Consulting Lite bundle) to configure your quote template, set up the transcription integration and hook it into your invoicing tool (Xero, QuickBooks, Payaca, Powered Now, Commusoft, Joblogic, ServiceM8 all supported).

Best for: Plumbers, electricians and heating engineers doing 5+ quotes per week. If you quote once a fortnight this is overkill; if you quote every day you've been leaving money on the table for years.

3. Automatic invoice chasers

What it does: Overdue invoices get polite AI-drafted reminders on day 3, day 10 and day 21 after the due date. You approve or edit each one from your phone in a couple of seconds. Cashflow tightens without the awkward "just checking you got that invoice" phone call.

Time saved: ~2 hours per week, plus getting paid sooner, because the chaser goes out on time every time inside the first quarter.

Setup: part of a monthly Admin plan, or a Consulting Lite bundle at £150 for four hours if you want it standalone. Hooks into your existing invoicing tool.

Best for: Any trade where invoices sometimes sit 30+ days. If you're already paid on the day, skip this one.

4. Review replies drafted in your voice, overnight

What it does: Every Google or Facebook review gets an AI-drafted reply within an hour of the review posting — trained on your voice so it doesn't read corporate. Five-stars get a warm thanks; one-stars get a longer, calmer draft flagged for your personal review before publishing. You approve on your phone in the morning.

Time saved: ~1 hour per week. The bigger impact is that nothing goes unanswered — which is exactly what a prospective customer notices when they scroll your reviews before ringing you.

Setup: a monthly Admin add-on. No setup fee, live within a week.

Best for: Every trade with a Google Business Profile. The higher your review volume the bigger the win, but even a trade with 2 reviews a month sees real returns because a single 1-star review left un-replied does real damage.

5. WhatsApp bot for fault-code triage (heating engineers)

What it does: Customer WhatsApps your business number with "boiler not firing". The bot walks them through: make and model, fault code, when it started, whether the pilot shows. Common lockouts (low pressure, thermostat battery, reset codes) get walked through safely to a resolution the customer can do themselves. Anything requiring your judgement gets escalated to a callout with the diagnostic info already collected.

Time saved: ~5 hours per week during heating season, plus a large chunk of your out-of-hours callouts that turn out to be resolvable in three minutes.

Setup: £150 for 4 hours (Consulting Lite bundle) to set up the WhatsApp integration, on top of a chatbot which is quoted separately. Live in one working week — worth aiming for October so it's proven by the first cold snap rather than during it.

Best for: Heating engineers specifically. Plumbers with a heating focus get some benefit; electricians and builders less so because their fault-code triage is more variable.

What to skip

Two things are frequently pitched to one-van trades that usually aren't worth it:

  • AI-generated Instagram content. For most one-van trades, Instagram is a low-return channel — customers find you through Google, not Instagram. Paying monthly for AI social content is fine if you're already committed to being on Instagram; don't start there.
  • "AI SEO" packages. Genuine SEO for a local trade is real but slow. AI cannot short-circuit the fundamentals (get on Google Business Profile properly, get real reviews, list on genuine trade directories). Any vendor promising fast "AI-powered SEO" for a suspiciously round monthly fee is selling you a template.

The realistic starting order

If you're doing zero of these today:

  1. Week 1: Chatbot on your website (#1). Fastest win.
  2. Week 2: Review handling (#4). Cheapest bolt-on.
  3. Month 2: Voice quoting (#2), if you quote more than 3 jobs a week.
  4. Month 3: Invoice chasers (#3), if collections is a real pain.
  5. Before October (heating engineers): WhatsApp fault-code bot (#5).

None of it requires you to know anything about AI or to touch a line of code. All of it is set up and maintained by us; you approve outputs on your phone and get on with the actual trade work.
